Neko Insurance Services LLC ("Neko," "we," "us") provides software, automation and operations services to independent insurance agencies and the businesses they serve. This Privacy Policy explains what information we collect, how we use it, and the choices you have. It applies to our website, our services, and our communications with you, including phone calls, email and text messages.
1. Information we collect
- Information you give us: name, business name, job title, email, phone number, and anything you share when you contact us, book a meeting, or use our services.
- Business contact information from public and commercial sources: we may obtain business contact details (such as an agency owner's name, title, business phone and company website) from public records, business websites, professional networks and data providers, to reach out about our services.
- Call and communication records: calls with Neko may be recorded and transcribed for quality, training and record-keeping. We tell you when a call is recorded.
- Client data: when an agency or business uses our services, we process the documents and data it provides (for example policy documents, applications and account records) only to deliver those services.
- Website data: basic technical information such as browser type, pages visited and IP address, collected through standard server logs and cookies.
2. How we use information
- To provide, operate and improve our services
- To contact business prospects about our services and schedule meetings
- To review calls for quality and to coach our team
- To respond to questions and provide support
- To meet legal, security and compliance obligations
We do not sell personal information, and we do not use client data to train general-purpose AI models.
3. AI processing
Some of our services use artificial intelligence to read documents, summarize calls and automate tasks. This processing runs through enterprise cloud providers under agreements that do not allow them to retain or train on the data we send. A person at Neko or at the client reviews consequential actions before they are taken.
4. How we share information
We share information only as needed to run our business:
- Service providers who host, process or support our services (for example cloud hosting, telephony, email and data providers), bound by confidentiality obligations
- Our clients, when the information belongs to or was provided by that client
- Legal and safety reasons, when required by law or to protect rights, property or safety
- Business transfers, such as a merger or acquisition, subject to this policy
5. Text messages (SMS)
If you agree to receive text messages from Neko, we use your number only to communicate with you about our services and scheduled meetings. Message frequency varies. Message and data rates may apply. Reply STOP to opt out at any time, or HELP for help. We do not share or sell mobile numbers or SMS opt-in consent with third parties or affiliates for their marketing purposes.
6. Your choices
- Opt out of outreach: tell us on a call, reply to any email, or email us and we will stop contacting you.
- Access, correction and deletion: email us to request a copy of, correction to, or deletion of your personal information. Depending on where you live, you may have additional rights under local law, and we will honor them.
- Cookies: you can block or delete cookies in your browser settings.
7. Data retention
We keep information only as long as needed for the purposes above, to meet legal obligations, or as agreed with our clients. Call recordings are kept for a limited period and then deleted.
8. Security
We use administrative, technical and physical safeguards appropriate to the information we handle, including access controls and encryption in transit. No system is completely secure, and we will notify affected parties of a breach as required by law.
9. Children
Our services are for businesses and are not directed to children under 16. We do not knowingly collect their information.
10. Changes
We may update this policy. We will post the new version here and change the effective date above.
